Hosting and server log files

Our website is hosted by STRATO. When the website is accessed, technically necessary data is processed in server log files (e.g. IP address, date/time, requested resource, browser/OS) in order to provide the website and ensure IT security.
Legal basis: Art. 6(1)(f) GDPR (legitimate interest in the secure and stable operation of the website).

Processing for contract and account purposes

When you register, use a membership or obtain downloads, we process in particular:

  • Master data (e.g. name, email)
  • Account/membership data
  • Usage and access data, insofar as necessary for provision and abuse protection
  • Contract and, where applicable, billing-relevant data

Legal basis: Art. 6(1)(b) GDPR (contract/pre-contractual measures), Art. 6(1)(c) GDPR (legal obligations).

Systems and plugins used

The following systems, among others, are used on the website:

  • MemberPress (memberships, access control)
  • Download Monitor incl. extensions (download management, access restriction, download logging, captcha where applicable)
  • NextGEN Gallery / NextGEN Pro (gallery and media delivery)
  • Complianz (cookie/consent management)
  • Akismet (spam detection, as the comment function is active)

Depending on the function, technical metadata (e.g. IP address) may be processed. Where necessary, data processing agreements are in place.

Third-country transfers

When using certain services (e.g. payment or anti-spam services), processing in third countries (in particular outside the EU/EEA) cannot be excluded. In such cases, the transfer takes place only on the basis of appropriate safeguards (e.g. adequacy decision, standard contractual clauses).
Note: According to current information, external file storage via Dropbox is not used for personal data.

Retention period

We store personal data only for as long as is necessary for the respective purposes or as long as statutory retention obligations exist. Typical retention periods (to be finalised in line with internal processes):

  • Server logs: usually short-term
  • Account/membership data: for the duration of the usage relationship and statutory verification periods
  • Contract/billing data: in accordance with statutory retention periods
